Formula & methodology

How Invoice Totals, Discounts & Taxes Are Calculated

An accurate client invoice separates line-item subtotals from commercial discounts, statutory taxes (Sales Tax, VAT, or GST), and reimbursable delivery or handling charges:

Line Total = Quantity × Unit Price
Subtotal = Sum of all Line Totals
Discount Amount = Subtotal × (Discount % ÷ 100)
Taxable Base = Subtotal − Discount Amount
Tax Amount = Taxable Base × (Tax % ÷ 100)
Total Amount Due = Taxable Base + Tax Amount + Delivery / Other Charges

Worked Example: A catering invoice with $2,180.00 in line items, a 5% repeat-client discount (-$109.00), 8.25% sales tax on the discounted base (+$170.86), and a $45.00 delivery fee produces a final amount due of $2,286.89.

Common questions

Frequently Asked Questions

What is an invoice?

An invoice is a commercial billing document issued by a seller to a buyer itemizing the goods or services delivered, agreed unit prices, applicable taxes and discounts, payment terms, and the total amount due.

What details should be included on a professional invoice?

Every professional invoice should include your company name, logo, and contact info, a unique invoice number, issue and due dates, the client's billing name and address, an itemized table of goods or services with quantities and unit prices, subtotal, discounts, tax rate, total due, and clear payment instructions.

Is an invoice the same thing as a receipt?

No. An invoice requests payment after goods or services are delivered (or per milestone terms), whereas a receipt is issued after payment has been collected as proof of settlement.

What is the difference between an invoice and a quote or work order?

A quote or estimate proposes expected pricing before a job starts; a work order authorizes and schedules the operational scope of work; an invoice bills the customer for payment once the work is performed.
