Formula & methodology
How Payroll Hours & Time Cards Are Calculated
To calculate accurate payroll hours from daily shift punches:
Daily Worked Minutes = (End Time − Start Time) − Unpaid Lunch Break Minutes Decimal Hours = Daily Worked Minutes ÷ 60 Regular Pay = Regular Hours × Base Hourly Rate Overtime Pay = Overtime Hours × (Base Hourly Rate × Overtime Multiplier) Total Gross Pay = Regular Pay + Overtime Pay
Example: Five shifts from 08:00 to 17:30 with a 30-minute unpaid break equal 9.0 hours/day (45.0 hours/week). With an 8-hour daily or 40-hour weekly overtime threshold at $22.00/hr and 1.5x overtime, the employee earns $880.00 regular pay + $165.00 overtime pay = $1,045.00.
Common questions
Frequently Asked Questions
What is a time card calculator?
A time card calculator converts daily shift start and end times into decimal payroll hours, deducts unpaid meal breaks, separates regular and overtime hours, and computes gross wages.
How do I convert minutes to decimal hours for payroll?
Divide minutes by 60. For example, 15 minutes is 0.25 hours, 30 minutes is 0.50 hours, and 45 minutes is 0.75 hours.
Does this calculator handle overnight shifts?
Yes. If the shift end time is earlier than the start time (for example, 22:00 to 06:00), the calculator automatically rolls across midnight.
