Formula & methodology

Absence Percentage Formula

The standard HR formula for team absenteeism rate is:

Absence Percentage = [ Total Days Absent ÷ (Total Employees × Scheduled Workdays) ] × 100

Worked Example: For 15 employees working 125 scheduled days each (1,875 total team workdays) with 35 total days absent, the absence percentage is 35 ÷ 1,875 × 100 = 1.87%.

Common questions

Frequently Asked Questions

What is a normal employee absence percentage?

The U.S. Bureau of Labor Statistics reports an average unscheduled absence rate of roughly 2.8% to 3.2%. Rates under 5% are generally manageable, while rates above 5%–10% signal scheduling burnout or engagement problems.

Should planned vacation or PTO be counted in absence percentage?

No. Absenteeism tracking focuses on unscheduled absences (sick calls, no-shows, tardiness) rather than pre-approved vacation, jury duty, or parental leave.

Why does high absenteeism hurt restaurant and field service margins?

Unplanned call-outs force managers to cover shifts with last-minute 1.5x overtime or run short-staffed, which slows ticket times and increases staff turnover.
